Rose & Ruby respects your privacy. We will not sell, trade, rent or pass on your personal information to any other organisation, apart from our carefully selected partners who enable us to carry out your instruction such as printers and couriers for the production and delivery of your order. We are committed to protecting your privacy and will only use the information you have provided fairly and securely. We will never do anything with your information that you have not clearly agreed to and we will only use your personal information for the purposes that we state at the point at which you provide it for us - for example, to process your orders and to provide an efficient service.

We receive, collect and store any information you enter on our website when you send an enquiry or place an order. We may also use software tools to measure and collect session information, including page response times, length of visits to certain pages, page interaction information, and methods used to browse to and from the page to help us learn from your experiences and provide the best user experience for our customers. We also collect personally identifiable information relating to your order or enquiry (including name, email, and any communications you send us), comments, feedback, product reviews, recommendations, and personal profile.

We collect personally identifiable information relating to your order (including name, email, and any communications relating to your order details); We also collect any order comments, feedback, product reviews, and recommendations you wish to share with us.

2. How we collect visitor and user information:
When you conduct an enquiry or transaction on our website or via email, as part of the process, we collect personal information you give us such as your name, address and email address to process your order. Your personal information will be used for the specific reasons stated above only.

3. We collect personal information and non personal information for the following purposes:
a. To provide and operate our services; including delivery services.
b. To provide our users with on-going customer assistance.
c. To be able to contact our visitors and users with general or personalised service-related notices and promotional messages.

4. How we store, share, use and disclose personal information
4.i On our website and via email:
We collect personal information when you make an enquiry or place an order. Our website is hosted by Squarespace which is GDPR compliant. Personal data you input on our website is collected through the site (but not stored) and is sent to us via email.
Data received via email such as any information you send to us, contact information, email addresses, and general wedding information for your invitations and stationery or branding requirements is done so for the sole purpose of processing your order and creating your artwork, designs and products. Data is stored on our internal hard drives, and in email archives. We use Gmail; a product of Google who are fully GDPR compliant.
Payments are taken via bank transfer so we don’t store a customers payment details when ordering via email, this is all done securely within our bank.
Payments taken via PayPal are securely recorded within our PayPal account, PayPal is fully compliant with GDPR and has rigorous safety and security in place.
If you subscribe to our mailing list your personal information is collected and stored by Mailchimp. Mailchimp is fully GDPR compliant.

4.ii Sharing information with third parties:
Rose & Ruby Ltd will never share your personal information with any individual or company who are not part of your order processing unless required by law. Rose & Ruby Ltd has partnered with a number of selected service providers, whose services and solutions complement, facilitate and enhance our own.
This includes:
4.iii.a Suppliers of materials and printing services; who if used by us to help create your product or service will receive your design file which may include your personal details such as your names, wedding date and location, and contact numbers, email addresses and mailing addresses for rsvp’s. The details that you include on your invitations or stationery are the only details which will be shared with any suppliers. They are not permitted to use these details further in any way. Our suppliers are located both in the UK, the EU and Asia.

4.iii.b Any billing and payment processing services (such as PayPal, and our banking service Santander). Please note that while our services may contain links to other websites or services, we are not responsible for such websites' or services’ privacy practices. We do however take pride in partnering with safe and secure third party organisations.

5. How do we communicate with our website visitors and customers?
We may contact you to notify you regarding your account/order, to troubleshoot problems with your account/order, to resolve a dispute, to collect fees or monies owed, to poll your opinions through surveys or questionnaires, to send updates about our company, or as otherwise necessary to contact you to enforce our terms and conditions, applicable national laws, and any agreement we may have with you. For these purposes we may contact you via email, telephone, text messages, and by post.

6. Promotional Messages
If subscribed to our mailing list, Rose & Ruby Ltd will use your email address only to send you communications including product and studio updates, promotional offers and wedding ideas and inspiration. If you do not wish to receive these emails anymore you can unsubscribe at any time using the unsubscribe button. We limit the amount of promotional content we send you at any one time, and pride ourselves on making any email we send you worth while.

7. How do you use cookies and other tracking tools on your website?
Rose & Ruby Ltd users GDPR compliant third-party services such as Google Analytics to measure the amount of activity on our website, see our most popular product listings and pages, and to see a customers activity on the website. This is not linked to other personal data or IP addresses, so we can’t see the exact activity you are undertaking, we are just provided with a summary of the common movements on the website for future development and user friendly experiences on our website.

8. Data Retention:
We may retain your personal information for as long as your order is active and for follow up communications to ensure you are happy with your purchase. After a sufficient amount of time, your contact/order details will be erased from our records. If you have opted to hear from us via our mailing list we will continue to contact you until otherwise notified via the unsubscribe function.

10. Continuing privacy policy updates:
We reserve the right to modify this privacy policy at any time, so please review it frequently. Changes and clarifications will take effect immediately upon their posting on the website.
